NEW HAVEN CAMERA CLUB HANDBOOK - Contest Rules

1. Number and kind of contests:
  • Color Slides: 8 General; 8 Category; 1 Slide of the Year
  • Prints: 8 General; 1 Print of the Year
  • Snapshots: 8 General; 1 Snapshot of the Year
2. When Held: fourth Mondays of September through November and January through April plus the second Monday of May. Image of the year competitions are held at the annual dinner.

3. Eligibility: Contests are open to paid up members of NHCC, only. Each entry must be prepared as specified in rule 5 below and made entirely by the exhibitor. Images provided or photographed by anyone other than the maker are ineligible, though two “set ups” arranged by someone else, but photographed by the maker, are allowed each year per category (i.e. prints, slides, or snapshots). An example of a “set up” is a picture taken at NECCC where the subject, lighting, etc. are all worked out by someone else and you simply plug into a studio flash and take the picture. These photographs should identified as such on the slide or print. Photographs obtained using digital techniques are acceptable as long as the original photograph is that of the maker (i.e. digital capture or scanned slides or negatives).

a.  In order to have a contest, at least two members must participate. In order to give out ribbons at least three members must participate; however images will still be scored regardless of the number of participating members.

b. Color prints and black and white prints may be produced commercially or may be made by the photographer. Prints and slides made using digital techniques by the photographer are allowed.

c. If a slide/print is submitted into regular competition and does not win a ribbon, that same slide/print or a similar slide/print may be submitted one more time in a subsequent year (not in the same year).

d. An identical or nearly identical slide or print may not be entered at the same competition. 

e. If you enter a slide into General Competition (not the Category Competition ) and the slide wins a ribbon, a print of that slide may not be entered into the print competition. If the slide was entered but did not win a ribbon or won a ribbon for Category Competition only, you may enter a print made from it.

f. If a print wins a ribbon and the print was made from a slide, then that slide may not be entered into competition.

g. General competition slides or prints have no time limit. Category slides must not be older than 5 years.

4. Responsibility of NHCC: All possible care will be taken of your slides and prints, but NHCC can accept no responsibility for their damage or loss.

5. Preparation of entries: please follow directions exactly.

  • Snapshots: All snapshot sizes up to and including 5"x7" are permitted. Panoramas are permitted as well. On the back, put an arrow to show the top of the print, title, your name, and your address (this information can be placed on a label affixed to the back of the print if you don’t want to mark directly on the print).

  • Color or Black and White Prints: 8"x10" to 16"x20" prints on any size mat board up to 16"x20". On the back, put an arrow to show the top of the print, title, your name, and your address.

  • Color Slides: Must be 2 x 2 inches in size; may be cropped with masks; may be mounted in glass, etc. for protection. To Thumb Spot: hold slide as you want it to be seen, then put a definitive spot in the lower left comer of the mount. To Title: turn the slide upside down with thumb spot in the upper right comer and print title at left of thumb spot so it can be easily read by the projectionist. Your Name: put it at the bottom of the slide. Your Address: put anywhere to avoid loss in outside competitions (see the diagrams in the section on Preparing Slides for Competition).

6. Delivery of Entries: Official deadline for slides in the regular competition is the program night preceding each contest, normally the 2nd Monday of month. Late entries must be mailed or delivered by the Friday before competition night to the Vice President for Inside Competitions. Instructions as to the kinds of contests to be entered (general, category, make-up) should accompany the entries.
Prints, category slides, and snapshots should be brought in early the night of the competition.

7. Return of Entries: Slides are returned at the next program night, unless held for outside competition such as PSA by the Vice President for Outside Competitions or held for reproduction in connection with NHCC activities. Prints are returned the same night unless held for outside competition. Members not wishing a slide or print to be held for these purposes may withhold permission by
notifying the Vice Presidents for Inside and Outside Competitions.

8. Classes are snapshots; A and AA and for prints; and B, A, and AA for slides. Each maker competes in the same class each year unless promoted to a higher class, or granted a change to a lower class by the Executive Committee at its summer meeting. (Rules 18 and 19).

9. Class placement of new members: A new member enters class B slides or class A prints unless otherwise directed by the Executive Committee.

10. Number of slides or prints per contest: Each member may enter a maximum of 2 slides and 2 prints, or 2 snapshots in each of the 8 contests, for a year's total of 16. Exception, see rule 11

11. Make-up privilege: A maker who unavoidably misses a contest may enter only 2 make-up snapshots, prints, or slides along with their regular 2 entries at one of the following contests. This privilege may be exercised only twice in the contest year, for a total of 4 make-ups. Four make up entries may not be entered on the same contest night. Make-ups must be marked as such by the maker. These entries are not eligible for ribbons, but their scores are included in the maker's cumulative score.

12. Judging: A panel of 3 judges (2 from outside the club and 1 from the NHCC) will judge the photographs on creativity, composition, impact, and technique. o Snapshots, print classes A and AA, and slide classes B, A, and AA are each judged separately.

  • There is a complete run through of all entries before scoring
  • The judges will comment on half of the photographs in each class (except snapshots where the judges will each comment on one print of his/her choice) pointing out what has been done well and what could use improvement. A member should mark the photograph he/she would like critiqued with a “C”.

13. Scoring: 4-10 points per judge per slide or print based on overall quality: 4-5 indicates below average, 6-7 indicates good, 8 indicates very good, 9-10 indicates superior. [Note that the in-house judge does not score his/her own images or those if his/her family entered in that nights competition(s). When the images of the in-house judge or his/her family are shown, he/she will signify this by using the number “3”. In that situation the average score of the two outside judges (with fractions rounded up) will be used in place of the inside judge's score to arrive at a final score. For example, if the one outside judge scores the image a 7 and the other outside scores an 8, those scores will be averaged as an 8 and the three scores (7,8,and 8) will be added to produce a final score of 23.]

14. Total Score is the sum of the three judge's scores. The maximum possible score per image is 30 points.

  • Title and score are announced after the judge's comments (except snapshots which are announced as a group before the print competition).
  • The in house judge will score his photographs (and those of family members) a “3” to indicate that his score should not be used. Instead the average score of the two outside judges will be used. For example 3,9,9 would average to 27 and 3,7,8 would average to 23.

15. Contest Awards: First, Second, and Honorable Mention ribbons are given to snapshots, print classes A and AA, and slide classes B, A, and AA. Winning snapshots, prints, and slides are shown at the end of the competition and the maker's name and image title(s) are announced. Ribbons are presented at the next meeting night.

16. Cumulative Score is the sum total of all slide or print scores to date. At the end of the competition year the lowest 4 scores of each maker shall be dropped and both the cumulative score and the per photograph average shall be computed on the basis of the 12 highest scores obtained that year. To be ranked, the maker must have submitted a total of 16 photographs (8 contests times 2 images per contest) in snapshots, prints, or slides (makers can compete in more than one format and can have cumulative scores in each format). This is why members are encouraged to enter each month’scompetition and why they should take advantage of makeup privileges if they miss one or two competitions.

17. Year-end awards: A high cumulative score trophy is awarded for the highest cumulative score in snapshots, each print class (A and AA), and each slide class (B. A, AA). (See rule 16). The Everett Wilson Memorial Trophy is presented to the slide Class B member who shows the greatest improvement from one year to the next. To be eligible the member must have submitted 16 slides during the season. That member must have submitted at least 8 slides the previous season. The winner is the member whose average score shows the greatest improvement from one year to the next. The Joe Dichello Memorial Award is presented to the best landscape or seascape slide selected by the judges. A cumulative score trophy is also awarded to the person who accumulates the most points in our Category Competitions (Assigned Subjects). These trophies are all presented at the Annual Awards Banquet in June.

18. Promotions to a higher class will be made after each contest year by the Executive Committee to equalize class size and skill level for fairest and keenest competition, on a basis of average scores achieved during the year. Changes are announced in the August bulletin. However, a member recommended by the Executive Board for promotion to the next higher class may decline promotion
by notifying the Vice President for Inside Competitions.

19. Changes to a lower class may be requested at the end of any year by any member by making application to the Vice President for Inside Competitions for action by the Executive Committee. Permission may be granted, or withheld, at the discretion of the Committee. To be eligible, a member must have competed for at least one year in the higher class and must have finished in the lower half of that class.

Category Contests

20. Entries: 3 maximum per contest. Must not be older than 5 years old.

21. Judging: is not classed. Competition is held after the general contests by same judges. An in-out scoring system is used. There are no comments. There is one winner who shows the best interpretation of the category title which adheres to definition and is of good quality. Slides receiving two "ins" will be held until there is one that receives three "ins". Then all slides receiving two "ins"
are dropped

22. Award: Ribbon for the winner.

23. Cumulative Scores: Points will be awarded as follows: First place, 3 points; Second place, 2 points; and Honorable Mention, 1 point. These points will count toward an award for highest cumulative point total for the year. This award will be presented at the Annual Dinner.

Snapshot Contests

24. Eligibility: New members and Class B slide makers only. The intent is to make it easier to expose new members to club competition.

25. Entries: 2 maximum per contest. Bring in on competition night. Any subject.

26. Judging: Snapshots will be judged prior to regular competitions. Judges may comment on winning snapshots.

27. Awards: First, Second, and Honorable Mention ribbons.

Annual Awards Contest

28. Eligibility: All slides, prints, or snapshots entered in that year’s regular competitions (not category competitions).

29. Number of entries: 4 snapshots for snapshot of the year, 4 prints for print of the year, and 4 slides for slide of the year.

30. Judging: By 3 outside judges. Each class judged separately, using the in-out method of scoring (score of 1 signifying “in” and a score of 0 signifying “out”), no comments. In the first round all photographs that receive two or three "ins" will advance to the second round of judging. In the second round only those photographs receiving three "ins" will advance to the final round. Judges will select a first, second, and honorable mention from those photographs receiving three "ins". If in the second round only two photographs receive three "ins", the judges will pick a first and second place from those two photographs. An honorable mention will be selected from those photographs receiving two "ins".

         If only one photograph receives three “ins” it will automatically be given first place. A second and honorable mention will be chosen from those photographs receiving two "ins". Prints: After the first, second, and honorable mention prints have been chosen in each class (A and AA), the two first places in each class will be judged against each other for print of the year.

         Slides: After first, second, and honorable mention slides are chosen in each class (B, A, and AA), the three first places in each class will be judged against each other for slide of the year. In addition the slide judged to be the best landscape or seascape (from any slide class) will be awarded the Joseph A. Dichello Jr. Memorial Award.

31. Delivery of entries: Bring in the night of the year end dinner.

32. Awards: Ribbons are awarded to the 1st, 2nd, and honorable mention winners in each snapshot, print, and slide class. Trophies are award to the slide chosen from the winners of all three classes and the print chosen from the winners of the two classes. It is presented at the first meeting in September.

34. Return of entries: At end of dinner meeting. Please claim yours before you leave.
